The application is hosted by KreativMedia GmbH (Switzerland, data centres in Zurich, Düdingen and Oberengstringen). Data is stored exclusively on servers located in Switzerland.

Purposes of processing
myServion processes your personal data for the following purposes:
- Account management and authentication
- Event organisation and attendance management
- Community directory operation (neighbourhood and village)
- Bug report processing (analysis with AI tools)
- Anonymous audience measurement (Matomo, no cookies)
- Technical platform monitoring to ensure its stability (Nightwatch tool)
Your personal data
myServion only collects data necessary for the operation of the site: first name, last name, email address (login identifier), phone number, postal address and GPS coordinates (for neighbourhood resolution). This data is hosted exclusively in Switzerland at KreativMedia, in ISO 27001-certified data centres located in Zurich, Düdingen and Oberengstringen, in strict compliance with the Swiss Federal Act on Data Protection (FADP).
Geolocation and assignment
Your postal address is converted into geographic coordinates by Swisstopo, the official Swiss federal mapping service, when you register or update your profile. These coordinates are kept to enable automatic resolution of your neighbourhood.
This assignment is performed server-side, by comparing your coordinates with the zones defined by the committee, without transmission to a third party. Automatic assignment does not make your data visible to other members: joining the directory remains an explicit choice on your part. Your GPS coordinates are never shared with third parties and are permanently deleted when your account is deleted.
Sharing your contact details with the community
If you enable sharing, you join the community directory. The following data is then shared in plain text:
- First and last name
- Email address
- Phone number (if provided)
- Postal address
- Introduction and helping hands offered
Within your neighbourhood, this information is visible to members of the same neighbourhood who have also enabled sharing.
With the "extended village directory" option, this information also becomes accessible to members of other Servion neighbourhoods, but only when they search for a helping hand matching your offer.
You can leave the directory at any time from your profile: all related data (introduction, help offers, compensation note, extended visibility) is then immediately deleted.
Third-party contact details in the Shared addresses section
The Shared addresses entries published by the committee may contain professional contact details of third parties (name, phone number, email address of a tradesperson, provider or business). This data is processed on the basis of our legitimate interest in enabling local mutual aid, given that it concerns professional contact details voluntarily made public by their holders.
Anyone whose contact details appear in the directory may request their removal by writing to contact@myservion.ch. The entry concerned will be amended or deleted as soon as possible.
Profile photo
If you signed in with Google, your Google profile photo may be displayed next to your name in the application. To do this, we store only the public URL of your photo provided by Google: the image is never copied onto our servers — it is loaded directly from Google when you view a page. We use the referrerpolicy="no-referrer" header so that Google receives no information about the page where the image is displayed.
You can disable the display of your Google photo at any time from your profile, in the "Security" → "Linked accounts" section. When you do so, the URL is immediately removed from our database and only your initials are shown instead. To display it again, a "Recover my Google profile photo" button sends you back to Google to fetch a new URL — you stay in control.
The URL is also removed if you unlink your Google account or if you delete your myServion account.
Automatic translation
myServion uses the Google Translate automatic translation service (Google LLC, United States) to automatically translate the content you enter into the other site languages (English, German, Italian).
Not only editorial content (event descriptions, slides) is translated, but also text written by members: reviews published in the Shared addresses section and neighbourhood introductions. This text is transmitted to Google on the basis of our legitimate interest in providing a multilingual site; it constitutes a transfer outside the EU/Switzerland, to a processor not bound by a formal Data Processing Agreement. Translation is best-effort — a failure does not interrupt the service, and the content then remains displayed in its original language.
If you do not want your reviews to be translated, you can choose not to publish them, or request their deletion from your profile.
Bug reports and artificial intelligence
When you report a bug using the dedicated button, your report (description, optional screenshot, technical metadata) is sent by email to bug@myservion.ch. Your identity (name, first name, email address) is kept in the inbox: this allows the committee to reply to you directly through the helpdesk. The date of your submission is recorded for evidence purposes.
Before any automated analysis using artificial intelligence tools (Anthropic — Claude.ai) to detect recurring issues, your identity is anonymised and only the report text and technical metadata are transmitted. The screenshot included in the report may however contain visual data related to your session — please do not include a screenshot if it contains sensitive information.
Retention period
Your data is retained for as long as your account exists. When your account is permanently deleted, all personal data is immediately purged from the production databases. The IP address recorded at the time of your consents is deleted together with your account in accordance with the FADP.
Backups hosted at KreativMedia are managed according to our host's retention policy, generally in the order of a few weeks. We do not control this period and cannot contractually guarantee it.
Your rights
Under the Swiss Federal Act on Data Protection (FADP) — and the General Data Protection Regulation (GDPR) for members residing in the European Union — you have the following rights:
- Right of access — obtain a copy of your data
- Right to rectification — correct inaccurate data
- Right to erasure — delete your account from your profile
- Right to object — object to a specific processing

Deleting your account
You can delete your account at any time from your profile. This action is irreversible and immediately triggers the deletion of the following data:
- Name, first name, email address, phone number, postal address, GPS coordinates
- Google profile photo (public URL served by Google, removed immediately if you had enabled it)
- Event votes
- Shared address reviews and associated PDF quotes
- Linked social account (Google)
- Neighbourhood data (introduction, help offers)
- History of your consents (including IP addresses)
Ideas you submitted to the idea box are kept anonymously ("Member removed") to preserve the history of proposals submitted to the committee.
